Final Instructions for Runners
Packet Pick-up Day – is Friday, February 2, under the big tent on the ball fields at 525 Posse Grounds Road, Sedona AZ , Open from 2:00 to 8:00 p.m. Find directions here.
Bib numbers will be pre-assigned in alphabetical order by race distance. Each distance will have a different color bib sequence for accurate scoring and clarity on the race course.
When you arrive at Packet Pick-up, go to the Race Distance area you have registered for, tell the race volunteer your name and hand in your signed paper waiver confirmation form. If you do not have a waiver already signed, blank waivers will be available for your use or you can download a copy here. If you need a participant waiver for a Minor (under age 18) please download here.
*Folks who register online on Thursday or Friday in the morning will NOT be in the alpha section corresponding to their distance and last name. Please go directly to the Solutions Table to be assigned a bib.
Event Tee – Participants who are registered (at any distance) before January 1, 2018 will receive a commemorative event shirt. Anyone who registers beginning January 2, 2018 MAY not receive an event t-shirt in their selected size or color. The online process will alert what sizes are available at the time of registration. Additional commemorative event shirts will be available for sale on-site at the EXPO and on race day.
Collecting a Packet for Someone Else – If you are asking a family member or friend to pick up your packet for you, be sure to provide that person with the required signed waiver confirmation form to be allowed to collect your bib. If you are collecting a packet for someone else, you MUST have a signed waiver to pick up a bib for another race participant and a copy of their photo ID (phone picture is okay). Confirm Your Information – when a race volunteer provides your bib, IMMEDIATELY confirm correct name spelling, age, gender, hometown and race distance to ensure that you get the correct bib AND that the scoring information is correct. If any information is not correct, please go immediately to the Solutions Table and provide an update.
Race Selection – Edits Switches – All registrants who register prior to Saturday, February 3, 2018 will be timed in the event in which they registered. Switches of event distance can be made before February 1 by emailing Gail at Gail@virtualroster.com. After February 1, changes can be made in person at the EXPO/Packet Pick-Up for a $20.00 change fee.
Unintended Race Day switches to a shorter race must be reported to Timing/Scoring immediately upon finishing and may result in a technical runner disqualification to avoid impacting the balance of the races’ results and awards. Full instructions can be found HERE.
Gear Bag Tag – there is a Gear Bag Tag on the bottom of your race bib that matches our runner number for use for gear bag drop off and pick-up on race day. If you choose to use it, the tent labeled Gear Drop is located at the Start/Finish line concourse.
Race Day Parking – is located at the Sedona Cultural Park (Cultural Park Drive and State Route 89A). However, we strongly recommend taking our free Sedona Marathon Event shuttles which will be running from 6:00 a.m. – 4:30 p.m. on Race Day. See the map for shuttle stops. If you still prefer to park at the Sedona Cultural Park on a first-come-first-serve basis, please make sure that you arrive at least one (1) hour prior to your race start time. Start times are as follows:
- 9:00 a.m. – Full Marathon
- 9:10 a.m. – Half Marathon
- 9:20 a.m. – 10K Race
- 9:30 a.m. – 5K Race
Timing – Your bib has an RFID timing device affixed to the back. You cannot alter the bib number in any way (except by removing the Gear Bag Tag). The bib MUST be worn on the outer-most garment FACING FORWARD and is best attached at waist-to-chest level with only two upper safety pins for effective timing. YOUR BIB MUST BE VISIBLE AT ALL TIMES IN ORDER TO BE TIMED. Safety pins will be provided to you. Please do not hide your bib on your back, on your side hips, under a jacket or we may not be able to provide you with a finish time. Do not bend/fold/cut/alter the bib number and timing tag in any way. NO need to return the bib/tag post-race, it’s yours to keep!
Gun Time vs. Chip Time – The 2018 Sedona Marathon Event will be timed using chip timing technology.
Awards will be set based on Gun Time — the time from when the start gun sounds until when you cross the finish line, and is deemed by USATF (USA Track and Field) to be the fair measure of a race awards/prizes finish order. Overall results will also be published in finish order based upon Gun Time as well.
Chip Times will be listed online, under individual results. To view your Chip Time, simply click on your name in the results. You will find the additional data there. It is considered official for recording your personal best, specific course records, and qualifications for meeting entry standards in other events. Remember: NO TAG, NO FINISHING TIME!
Race results will be available in several ways …
RaceJoy – app is available for free download and will be in use on race day at 2018 SME. Download the app to your mobile and carry it with you as you run. Your supporters can ‘see’ you race, know where you are on the course, see a projected finish time, send you cheer messages, and immediately know your unofficial GPS final time. Read more RaceJoy.
Real-time – chip-timed results will be available through onsite kiosks or your mobile device and computer from SMEresults.com
Post-Race – The final official results for the 2018 Sedona Marathon races will be archived and available by mobile or computer HERE
Massage Tent – the massage therapists who are working to relieve your stresses and injuries are contributing their time. Tipping them for good service is encouraged!
Lost & Found – items will be delivered on Sunday, February 4 to Sedona Chamber of Commerce Visitor Center in uptown Sedona (331 Forest Road, Sedona, AZ 86336) for pick up on Sunday, February 4 and throughout the week following the race. Unclaimed items will be washed and donated to a local charity.
Awards – (based upon GUN TIME) – for Overall winners will be presented on-site shortly after each race finishes. Age Group winner awards will be mailed directly to the address provided in registration – once the results are final, which is approximately 1 week post-race.
